RockStarCV NarratorIntroduction
What does an Administrative Assistant interview sound like when credible experience is not yet backed by clear decision rules and evidence? Let’s step inside the conversation and listen for the moments where stronger boundaries and measurable follow-through would change the hiring signal.
RockStarCV NarratorMeet Jordan and Lena
Jordan Blake is the Office Operations Manager for HarborPoint Mobility Services, a fictional United States company in Columbus, Ohio. Lena Ortiz presents the developing-candidate path. The debrief will show how to strengthen her answers without turning the interview into a caricature.
Jordan BlakeThe room
Hi, Lena. Thanks for coming in. How is your morning going?
Lena OrtizThe room
Pretty well, thank you. I was a little nervous in the lobby, but I am glad to be here.
Jordan BlakeThe room
That is completely normal. We have about thirty minutes. I will ask about your experience, priorities, confidentiality, process improvement, visitors, and accuracy. Then you will have time for questions.
Lena OrtizThe room
Okay, sounds good.
Jordan BlakeCareer story
Tell me about your Administrative Assistant experience and the scope you support today.
Lena OrtizCareer story
I have worked as an Administrative Assistant for about five years. I do calendars, meetings, travel, supplies, invoices, documents, visitors, and general office support. I use Outlook, Word, Excel, Teams, and sometimes SharePoint. I am very organized and I enjoy helping people.
Jordan BlakeCareer story
How many people do you support, and which part of the work has become more complex?
Lena OrtizCareer story
I support a few managers and help the wider team when needed. It can be very busy because everyone has different requests. Over time I have taken on more of the invoices and meeting preparation, and people trust me to get things done.
Jordan BlakeCareer story
Can you give me one result that shows the effect of your work?
Lena OrtizCareer story
The calendars run more smoothly now, and meetings are usually well prepared. I have received positive feedback from managers. I do not have a specific number, but there are fewer problems than there used to be.
Jordan BlakeWhy this administrative role
Why are you interested in this role with HarborPoint?
Lena OrtizWhy this administrative role
It looks like a friendly company, and I like that the job has variety. I have been in my current role for a while, so I am ready for a change and would like to learn new systems.
Jordan BlakeWhy this administrative role
Which responsibility in the description is the strongest match for you?
Lena OrtizWhy this administrative role
Probably supporting different people at once. I am used to switching between tasks, and I try to make sure nobody feels ignored.
Jordan BlakePriority triage
It is eight thirty. One leader needs a briefing pack by noon, a supplier wants to move a ten o'clock call, and someone reports water near a floor outlet. How do you handle all three?
Lena OrtizPriority triage
I would write everything down, deal with the water first, and then work through the other two. I would probably ask the leaders which request they wanted first, because I do not want to assume that one person's work is more important.
Jordan BlakePriority triage
What would you do about the water?
Lena OrtizPriority triage
I would call facilities and let people nearby know there was an issue. I would not try to fix the outlet. If facilities did not answer, I would tell my manager and keep following up.
Jordan BlakePriority triage
And if both leaders say their request is first?
Lena OrtizPriority triage
That has happened. I normally explain that I am working as fast as I can and ask my manager to decide. I might start the briefing pack while I wait. I could probably be clearer about the deadline or what would be delayed, but I would keep both people updated.
Jordan BlakeConfidentiality and security
A vendor emails new bank details and asks you to update them before today's payment. What would you do?
Lena OrtizConfidentiality and security
I would be cautious because payment changes can be sensitive. I would forward the email to my manager and the finance inbox and ask whether it looked legitimate. I would not make the change myself unless someone approved it.
Jordan BlakeConfidentiality and security
How would you verify that the request came from the vendor?
Lena OrtizConfidentiality and security
I might reply and ask them to confirm, or call the number in their signature. Now that you ask, it would be safer to use the contact information already in our system. I have not personally handled a bank-detail change before.
Jordan BlakeConfidentiality and security
Separate situation: an employee document with personal information is emailed to you by mistake. What would you do?
Lena OrtizConfidentiality and security
I would delete it and tell the sender. If I was not sure who should have received it, I would probably send it to Human Resources and explain what happened.
Jordan BlakeConfidentiality and security
Would you forward the attachment itself?
Lena OrtizConfidentiality and security
Only if they needed it, but I can see that would create another copy. A better answer would be to report the message through the privacy or incident process and follow their instructions. I would need to learn the exact route here.
Jordan BlakeProcess improvement
Tell me about an administrative process you improved and how you knew it worked.
Lena OrtizProcess improvement
Invoices used to arrive in different formats and were hard to track. I made an Excel sheet with the vendor, amount, person who sent it, and whether it was approved. It helped me see what was outstanding and remind people.
Jordan BlakeProcess improvement
Which decisions did you own, and which belonged to finance or an approver?
Lena OrtizProcess improvement
I owned the spreadsheet and reminders. Managers approved the invoices, and finance paid them. I sometimes suggested where an invoice should go based on what I had seen before, although finance made the final decision.
Jordan BlakeProcess improvement
What changed after you introduced the sheet?
Lena OrtizProcess improvement
There were fewer emails asking where things were. People said it was easier. I did not measure the number returned for missing information or the approval time, so I cannot give you a percentage.
Lena OrtizProcess improvement
If I did it again, I would keep only the information needed for the handoff, link to the official record, and track one or two measures. I would also be more careful not to imply that I was deciding the coding just because I was routing the packet.
Jordan BlakeVisitor service
Describe a difficult visitor or service situation where you had to be helpful without bending an important rule.
Lena OrtizVisitor service
A delivery driver once arrived after the loading area had closed and was upset because he had another stop. His name was not on the list, but he had the correct company paperwork and seemed genuine.
Lena OrtizVisitor service
I asked him to wait in reception and called the warehouse lead. When nobody answered, I found an employee who recognized the vendor and let the driver use the side entrance. I stayed with him until someone from the warehouse came down.
Jordan BlakeVisitor service
Was that employee authorized to approve the access exception?
Lena OrtizVisitor service
I am not sure. They worked in that area, so I assumed it was acceptable. Nothing went wrong, and the driver appreciated the help, but I can see that I improvised around the visitor process instead of escalating to security or the designated manager.
Jordan BlakeVisitor service
What would you do differently now?
Lena OrtizVisitor service
I would keep the driver in the approved waiting area, protect any information about staff locations, and use the after-hours contact or security desk. If there were a safety concern, I would report it and follow the emergency plan rather than asking an unconfirmed person to solve it.
Jordan BlakeAccuracy and recovery
Tell me about an accuracy mistake you made and what you changed afterward.
Lena OrtizAccuracy and recovery
I sent a meeting agenda with the wrong room number. One attendee noticed and messaged me, so I corrected the agenda and sent it again. I apologized and made sure the room was available.
Jordan BlakeAccuracy and recovery
Did you update the calendar and the shared source as well?
Lena OrtizAccuracy and recovery
I updated the calendar, but I do not remember whether I replaced the file in the shared folder. I was focused on getting the correction out quickly. That could have left two versions available.
Jordan BlakeAccuracy and recovery
What control did you add, and how did you know it prevented a repeat?
Lena OrtizAccuracy and recovery
I started double-checking room numbers before sending agendas. I have not tracked how often the check happens or whether the same error returned, but I have been more careful and I do not remember another complaint.
Lena OrtizAccuracy and recovery
A stronger approach would be one checklist for the calendar and file, a single current link, and a simple monthly count of corrections. That would give me evidence rather than relying on memory.
Jordan BlakeCandidate questions
Thank you. What questions do you have for me?
Lena OrtizCandidate questions
How is work usually assigned across the team?
Jordan BlakeCandidate questions
Each leader has recurring support needs, and the Office Operations Manager coordinates shared priorities. We expect the assistant to handle routine decisions and surface conflicts with options rather than waiting silently.
Lena OrtizCandidate questions
What training is available for systems I have not used yet?
Jordan BlakeCandidate questions
We provide role-based onboarding and a system owner for each platform. We would expect you to learn both the steps and the boundaries, such as which system is the source of truth and who can approve changes.
Lena OrtizCandidate questions
That is helpful. I like to take notes and build my own guide while I am learning.
Jordan BlakeClosing the interview
We are finishing first-round interviews this week and plan to contact candidates by Tuesday. Thank you for coming in.
Lena OrtizClosing the interview
Thank you for the conversation. The examples made me think more carefully about how I explain my work.
Jordan BlakeClosing the interview
It was good to meet you, Lena. Have a safe trip home.
RockStarCV NarratorOutro 1 · Verdict
The verdict is developing, not disastrous. Lena is experienced, courteous, and willing to learn. The risk is that several answers depend on good intentions while leaving the decision rule, authority boundary, or measurable result unclear.
RockStarCV NarratorOutro 2 · Evidence
Her career story lists credible duties but never establishes a stable scope.
RockStarCV NarratorOutro 2 · Evidence
Her prioritization answer asks a manager to choose before showing the impact, deadline, dependency, and specific trade-off.
RockStarCV NarratorOutro 2 · Evidence
The security answers improve under questioning, but the first instinct to forward sensitive material or use contact details inside a suspicious request creates avoidable exposure. A strong answer begins with pause, independent verification, minimum handling, and the named incident route.
RockStarCV NarratorOutro 3 · Framework
Use this repair sequence: scope the situation, identify the risk, state what you owned, name where your authority ended, and measure what changed. For an error, add containment, source-of-truth correction, notification, prevention, and recurrence tracking.
RockStarCV NarratorOutro 3 · Framework
Choose one real example and replace phrases such as people were happy, things ran smoothly, or I was more careful.
RockStarCV NarratorOutro 4 · Practice
Add a period, denominator, service measure, or clearly bounded observation that the interviewer can evaluate.
RockStarCV NarratorOutro 4 · Practice
Keep the answer conversational and honest. You do not need a perfect story; you need a clear decision and a credible lesson. Continue your preparation at Rock Star C V dot com.
